AI Workflow Redesign Specialist

Also called AI Process Designer · Workflow Redesign Specialist · AI Process Engineer · Agentic Process Designer

An AI Workflow Redesign Specialist rebuilds how work gets done so people and AI each do what they are good at. It matters because tools bolted onto old processes rarely improve quality or speed.

What they do

They study how a piece of work really happens, task by task, including the workarounds nobody wrote down. Then they decide which steps need human judgement, which can be automated within clear limits, and where the two meet. They design exception and escalation paths, run small experiments with the people doing the work, and adjust. They build simple value models to compare options and help plan which workflows to tackle first. They also work with risk, legal and team leads, and they plan the training and change support that makes a new workflow stick.

What a strong hire delivers

In the first months, a strong hire delivers one or two live workflows that have been tested with real work, not just drawn on a slide. Each has named owners, clear exception and escalation paths, and a baseline to measure against. They leave behind a prioritised list of further candidates, a repeatable method for the team, and staff who understand and trust the new way of working.

How you can tell they are good

Ask them to walk through a workflow they redesigned. A strong candidate shows the before and after, explains why certain steps stayed human, and describes what failed in testing. They can say how they measured quality alongside speed, and how the people doing the work felt about it. Be wary of those who talk only about tools or headcount savings.

Why it is hard to fill

Few people carry this title. The work is usually hidden inside operations, transformation, strategy or process engineering jobs, so searching by title finds very little. Candidates need an unusual mix: rigorous process analysis, a real feel for what current agent capabilities can and cannot do, and the people skills to change habits. Most people have two of the three.

Where to find them

Look in operations and transformation teams at large enterprises and in business process outsourcers, where redesigning work has long been the job. Strong candidates also come from process mining, lean and six sigma practice, management consulting, strategy teams and technology leadership. The best often already run automation or agent pilots under a different title.

Indicative pay

Not enough published evidence yet to give a fair range for this role, which is common for work this new. We benchmark it for you as part of a search.

Interview questions for an AI Workflow Redesign Specialist

  1. Tell me about a workflow you redesigned. What did you change, and what did you deliberately leave to people?

Look for a specific example with clear reasoning about human judgement versus automation. They should name trade-offs and outcomes. Worry if the answer is a list of tools, or if every step ended up automated.

  2. How do you find out how work really happens, as opposed to how the process document says it does?

Strong answers include observing work, speaking to frontline staff, reviewing process data and spotting workarounds. Worry if they rely on workshops with managers alone or treat the documented process as truth.

Job description you can post

We are looking for an AI Workflow Redesign Specialist to change how our teams work with AI. You will study real processes, redesign them around human judgement and bounded automation, test them with the people involved, and make sure the new way of working holds up in practice.

What you will do

  • Map and analyse how work is done today, task by task, including informal workarounds
  • Redesign workflows so people handle judgement and AI handles well-bounded tasks
  • Define exception and escalation paths for each automated step
  • Run small experiments and report on quality-adjusted cycle time and worker experience
  • Build simple value models to prioritise which workflows to redesign next
  • Work with risk, legal and team leads to manage AI-related risk
  • Plan training and change support for the teams affected

What you will bring

  • Demonstrated redesign of a live workflow, with before and after results
  • Strong task analysis and process mapping skills
  • Practical understanding of what current AI agents can and cannot do reliably
  • Experience running experiments with real teams and adjusting from the results
  • Ability to build commercial cases with clear assumptions
  • Evidence of leading change with people who were sceptical

Nice to have

  • Experience with process mining or lean and six sigma methods
  • Background in operations at an enterprise or outsourcing provider
  • Experience with AI risk assessment or controls
